How much of a deposit is required?
We require a 20% deposit.
When is the final payment due?
Final Payment is due before the trip leaves.
What is the cancellation policy?
If you cancel 30 days before your trip there is no penalty. If you cancel 30-8 days before your trip we will keep your deposit. If you cancel the 7 days before a trip you will be required to pay the entire trip as we do not have time to re-book that bus.
How soon do I need to book?
Ideally, you want to book at least 1 month in advance to ensure availability. The earlier you book, the more options you will have.
Do I need to tip the bus operator?
The usual rate is 10% of the charter or $2 per person on the bus. About a third of operator’s pay comes from the gratuity as an incentive to provide good service.
Do I pay for parking, tolls and other fees?
The group is responsible for all parking, tolls, and fees. If the group is unable to pay while on the road, our driver will pay them and we will add it to the invoice.
What's the largest capacity bus you have?
Currently the largest bus is 57 passengers, but the majority are 56 passengers.
What amenities do your buses have?
Our motorcoaches have DVD players, AC system, reclining seats, mobile WiFi, power outlets under each seat, restrooms, undercarriage storage, and more.
I have a CDL License; can I charter a bus without an operator?
No, our insurance policy doesn’t allow it.
What is your procedure in the event of a breakdown?
In that event the driver will contact our 24 hour operations manager to inform them of the problem, we will then begin to assess if the issues can be fixed quickly or if it will be a lengthy repair. If it will be a simple repair we find a local mechanic and have them do the repairs with our guidance. If it takes longer we will either send a rescue bus from our own shop if we are close enough or find a local bus company to finish the charter. Our main priority is to get the group home as soon as possible.
Are you members of any associations?
Does your company have its own maintenance facility?
Yes. Both locations, Carlsbad and Lubbock have their own maintenance facility with full time mechanics and cleaners. We have a rigorous preventative maintenance program we follow on every bus we own.
Do I need to book the hotel room for the bus operator?
Yes, for overnight trips, it is customary to book the operator’s hotel room, but most hotels will comp the bus operator’s room (provide the room for free) when you book rooms for large groups. Ask for someone in group sales at the hotel to ensure the operator’s room gets comped.
How many hours can our driver work?
The United States Department of Transportation (USDOT) regulates the United States charter bus industry. Bus operators are required to carry a current DOT Physical Exam Card, be drug tested under DOT rules and regulations, and maintain a log for miles and hours of service. Coaches are not required by state or federal law to have seatbelts. Some states require that operators be certified for all school sponsored trips, grades 12 and under.
The DOT regulation 395.10 restricts the bus operator’s driving time. There are three parts:
- 10 Hour Rule. The bus operator cannot drive more than 10 hours following 8 consecutive hours off duty (except in emergencies)
- 15 Hour Rule. After 15 hours on-duty (driving and non-driving tasks), an operator cannot continue driving until 8 consecutive hours of off-duty time is taken.
- 70 Hour Rule. On duty time cannot exceed 70 hours for any period of 8 consecutive days.

How much luggage can I bring with me?
You may bring as much as will fit. We suggest a regular suitcase and a carry-on bag per passenger; however, if you need to bring more, please check with your group leader.
How large can my carry-on bag be?
There are parcel racks above all the seats that can accommodate backpacks, large purses, etc. There is also room below the seats that can be used as well.
How many stops do you make on each trip?
That is determined by your group leader and bus driver. We would suggest a stop every 4 hours or so, but it is completely up to the group to determine that.
Can I choose the bus we take?
We have many vehicles to choose from. If you want a specific bus, we will do everything in our control to make sure that vehicle is available for your trip.
Is alcohol or smoking allowed?
Alcohol is allowed with prior permission and a deposit of $250.00 to $500.00 depending on the trip. Smoking is not allowed on any of our vehicles.
Can I purchase just one or two seats for a trip?
No, we only charter the entire bus. Greyhound provides single passenger tickets.
Can you provide proof of insurance? (The state requires a $5 million policy for interstate transportation)
Yes we can, just contact the office if you require a copy.
Does your company own the bus, or will it be brokered out?
We own all of the buses, but occasionally we may sublet a charter with another company to be able to fulfill your contract.
Is the bus available for inspection before chartering?
Yes. You can view the buses before your trip, or contact the office for pictures.
